Citizen & Culture Executive

As the Citizen & Culture Executive, you will support the day-to-day operations across both Earth HQ and hotel operations, helping create a smooth, organised, and human citizen experience from arrival to everyday operations. You will play a key role in supporting the full citizen lifecycle, including recruitment coordination, onboarding, contracts, visas, administration, and operational support. Working closely with operational leaders and teams across the business, you will help ensure Citizens feel supported while maintaining strong structure, accuracy, and follow-through behind the scenes.
What on Earth Will You Do?
Prepare employment contracts, offer letters, and onboarding documentation.
Coordinate onboarding processes for new Citizens across Earth HQ and hotel operations.
Support new joiner arrivals, onboarding schedules, inductions, and orientation coordination.
Ensure employee files, records, and documentation are maintained accurately and confidentially.
Track probation periods, confirmations, movements, and citizen-related documentation.
Coordinate visa processes, medicals, Emirates ID applications, labour documentation, and related government procedures.
Liaise with PROs, government entities, and external partners to ensure smooth processing and compliance.
Monitor visa expiry dates, renewals, and labour-related trackers proactively.
Support compliance with UAE labour requirements and internal People procedures.
Act as a key support contact for day-to-day Citizen queries and administration matters.
Coordinate operational requirements across HQ and hotel teams.
Support attendance tracking, leave coordination, scheduling administration, and employee records management.
Assist in maintaining a smooth and organised operation across multiple functions and departments.
Provide administrative and coordination support to Citizens & Culture leadership when required.
Plan and execute citizen engagement activities, internal communication, and culture initiatives.
Help create a welcoming, thoughtful, and organised experience for new and existing Citizens.
Support onboarding moments, citizen celebrations, and culture-driven initiatives across the business.
Ensure the Earth culture and service mindset are reflected in everyday interactions and processes.
Manage recruitment coordination for operational and corporate support roles across Earth HQ and hotel operations.
Manage job postings, candidate communication, interview scheduling, and hiring administration.
Work closely with department leaders to support hiring needs, staffing priorities, and onboarding timelines.
Ensure a smooth and organised candidate experience throughout the recruitment process.
Coordinate onboarding readiness and hiring documentation for all new joiners.
Manage recruitment tracking, reporting, and hiring process follow-up across the business.
Coordinate monthly payroll inputs, ensuring all attendance records, leave balances, new joiners, leavers, salary changes, deductions, and variable payments are accurately captured and submitted on time.
Maintain payroll records and supporting documentation with accuracy and confidentiality.
Liaise with Finance team to support timely and accurate payroll processing.
Validate payroll reports and assist in resolving payroll-related discrepancies or employee queries.
Track unpaid leave, overtime, allowances, commissions, and other payroll-related adjustments as required.
Ensure payroll administration complies with company policies and applicable labour regulations.
Prepare payroll-related reports, reconciliations, and supporting information when required.
Support end-of-service calculations, final settlements, and offboarding administration in line with company policies and local labour regulations.
Maintain trackers, reports, and records with strong attention to detail.
Ensure processes are followed consistently and efficiently.
Support continuous improvement of administrative workflows, onboarding processes, and coordination.
Assist with preparing reports, documentation, and operational updates when needed.
Ensure all administration practices follow company policies and local regulations.
